The right work-order fields depend on the trade, asset, contract and applicable rules; there is no universal field-service data standard.
What should a field-service work order include?
Treat the work order as the link between the service request and its execution. A useful record lets dispatch plan the job, the technician understand the context, and the organization act on the result without re-entering or guessing at key details. The following groups are candidate fields, not a mandatory schema.
Job identity and context
- A unique work-order ID and, when relevant, the related request, case or incident reference.
- Work type, priority and current status; include creation or committed dates only when they serve an operational purpose.
- The customer or service account, relevant contact, service address, and site or functional-location hierarchy.
- The related asset, identified by ID or name, with category, model or precise location within the site where useful.
Keep those relationships aligned: a work order should point to the customer, location and asset involved in that specific job. Microsoft’s Dynamics 365 documentation describes work orders with fields such as type, status, duration, priority, account and asset context (Microsoft: Work orders). Salesforce’s data model also connects work orders with assets, cases, accounts, contacts and service contracts (Salesforce: Work Order data model; Salesforce: Field Service core data model).
Planning and assignment
- The assigned technician or other responsible resource, plus the appointment or booking that connects the person to the job.
- Planned duration and, where they affect safe or successful execution, required skills, equipment or access arrangements.
- Schedule outcome or changes when they are needed for dispatch or customer coordination.
Planning data and execution data are related but serve different purposes: an assignment says who is expected to do the work and when; the close-out says what actually occurred. Microsoft describes a mobile workflow where technicians can see location, instructions, customer assets and service history, then mark work complete or indicate that follow-up is required (Microsoft: Mobile work orders).

Work performed and outcome
- The relevant task, inspection or checklist and its result.
- Findings, faults or test results that matter to the service decision or future work.
- Action taken, completion status and whether follow-up is needed.
- Completion notes and photographs, video or customer acknowledgment only when they support the job, customer, safety, contract or compliance record.
For repair, maintenance and inspection work, connect findings and actions to the asset and its location. That makes the record useful as asset history rather than an isolated note. Microsoft describes service histories that can include repairs, inspections, tests, remote sensor data and issues associated with customer assets (Microsoft: Customer assets; Microsoft: Asset servicing).
Materials, services and time
- Parts or products estimated and used, with quantities; record stock movements or returns if the organization’s process requires them.
- Services or labor delivered and time entries when they support scheduling, billing, contract administration or other defined work.
- Chargeability and unit-price information where relevant to the service transaction.
These records can connect field execution with inventory, purchasing, returns and billing, but every organization does not need every field. Microsoft documents inventory, purchasing, returns, billing and time tracking as Field Service capabilities (Microsoft: Dynamics 365 Field Service overview). SAP’s example material record includes customer, item, technician, service-call ID, chargeability and unit price (SAP Help Portal: Service call materials).

How do you choose which fields to keep?
For each proposed field, be able to explain the job it does. A field is worth collecting when it supports a real workflow, decision, customer commitment, safety need, contractual requirement or legal obligation. A larger form is not automatically a better record.
- Purpose coverage: Does someone use the field to plan, perform, verify or follow up on work?
- Context integrity: Can the record be unambiguously connected to the correct job, customer, site, asset, appointment and assigned resource?
- Actionability: Can dispatch, service management, inventory, billing or the next technician use the result without asking for redundant entry?
- Field usability: Can technicians complete it on the device and in the conditions where they work? Guided tasks or offline access may matter in some environments; Microsoft documents mobile and offline workflows, but the cited materials do not provide a comparative usability test (Microsoft: Mobile work orders).
- Privacy and retention: Is personal information necessary, access limited appropriately, accuracy checked, and retention tied to a defined purpose?
The examples above synthesize product documentation from Microsoft, Salesforce and SAP. Those examples show how platforms support field-service workflows; they do not establish that every organization needs the same schema. The cited sources do not prescribe a universal set of timestamps, inspection measurements or required fields for every trade.

How should teams handle personal data and worker monitoring?
Collect personal information only for a defined purpose, and avoid gathering more than is needed. The UK Information Commissioner’s Office states: “The data minimisation principle means you must not collect more information than you need to achieve your purpose.” Its guidance on data protection and monitoring workers is UK-specific and currently marked under review following legislative changes, so organizations should check the rules that apply to their jurisdiction and workforce (ICO: Data protection and monitoring workers; ICO: Data minimisation).
For each personal field, document why it is needed, who can access it, how its accuracy can be checked or corrected, and how long it is retained. Be especially cautious about continuous location or activity tracking: the ICO recommends documenting the purpose of monitoring and limiting collection to what is necessary.
