Design Better Kennel Cards: What to Include and How to Keep Them Useful

A better kennel card puts identity and immediate care instructions first, stays protected and readable, and points staff to a complete, current record.

A useful kennel card lets staff identify the right animal and act on the right care instructions at a glance. Put the animal’s identity and unit number first, follow with immediate care needs and alerts, and point staff to the full record. Choose a display that stays readable and protected from animals, water, and cleaning products—and keep it current as care changes.

What should go on a kennel card?

Treat the card as a quick-access display, not as the animal’s complete file. Put the information staff need at the enclosure in a clear order:

  1. Identify: Show the animal’s name, a brief description or distinguishing marks, and the kennel or unit number.
  2. Act: List immediate care instructions, such as medication directions, special handling or feeding needs, and emergency veterinary instructions where applicable.
  3. Track: Include stay dates or timing cues only when staff use them and they match facility procedures.
  4. Connect: State where the full record and current treatment or administration log are kept. Keep sensitive owner details off a publicly visible side unless staff need them there.

Make urgent instructions easy to distinguish from general information. Use readable type and strong contrast; do not use color as the only signal for a warning. These are practical design recommendations, not a universal regulatory layout.

Keep the card connected to the full record

A short display cannot replace a complete boarding record. The full file may need owner and emergency contacts, veterinary details, medical and behavioral history, diet, consent, treatments, vaccination information, and arrival and departure dates. The specific record requirements depend on the applicable jurisdiction.

Use the kennel number or another facility identifier to connect the card to the animal’s record. Assign staff responsibility for creating or checking the card at arrival, updating it when the care plan changes, and removing it at departure. Check that the display agrees with the current record and treatment log. This workflow helps keep visible instructions aligned with the information staff rely on; it is an operational recommendation, not a quoted legal requirement.

Choose a format staff can read, update, and clean

East Ayrshire Council gives a wipe-clean board and a card clipped to a kennel as examples of ways to display animal information. Missouri’s regulation recognizes cage cards. Those examples do not establish a universally required format or prove that one design works better than another.

Format Useful considerations
Wipe-clean board Can be updated in place and wiped down. Confirm it remains readable at the enclosure and is compatible with the facility’s cleaning routine.
Clipped card Can be replaced when information changes. Make sure the clip holds securely and the card is positioned where staff can read it.
Protected cage card Offers a card-based display; use a location or protective arrangement that prevents damage from animals, water, and cleaning solutions.

Whichever format you use, assess readability at the enclosure, update reliability, secure attachment, cleaning compatibility, and how easily staff can find the full record. A sleeve or cleanable board may help protect a physical display, but Missouri’s rule does not prescribe a particular holder.

Check the rules where your kennel operates

Requirements differ by jurisdiction. The following are examples from England and Missouri, not one combined legal checklist. Confirm the current requirements with the licensing authority for your location.

England: numbered units and accessible dog information

Defra’s statutory guidance for local authorities on dog kennel boarding, updated 1 June 2026, says kennel units must be clearly numbered and a system must make relevant information about each dog available to staff and an inspector. The guidance calls for a register covering arrival and departure dates; dog identity and description; owner and emergency contacts; the usual vet and insurance details; relevant medical and behavioral history; diet; consent; recent vaccination, worming, and flea-treatment dates; and current medical treatment. Required records must be available in legible form, and electronic records must be backed up. Read Defra’s dog kennel boarding statutory guidance.

Missouri: cage-card information and placement

Missouri’s 2 CSR 30-9.020 says boarding kennels may use distinctive cage cards. The card must be positioned to prevent damage from animals, water, or cleaning solutions. The rule calls for a brief description—name, breed, sex, color, and distinctive markings—plus medication directions, special needs or instructions, and emergency veterinary instructions. The same Missouri rule separately specifies a more detailed boarding record, including owner name, address, and phone; an emergency contact; animal name, age, sex, and breed; vaccination information; pre-existing physical problems; medication instructions; veterinarian of choice; special feeding or boarding instructions; additional services; and dates received and released. A cage card is therefore not a substitute for that record.
