What to Ask a Vet Clinic Before Registering Your Dog

Before registering your dog, confirm the clinic’s services, appointment process, emergency arrangements, fees, payment options, communication, and record-transfer requirements.

Before registering your dog, ask about the clinic’s services, appointment availability, after-hours emergency arrangements, fees, payment options, communication, and how it handles medical records. The details vary by practice and location, so confirm them directly—and make sure you know where to go if your dog needs urgent care when the clinic is closed.

Questions to ask before choosing a clinic

A good fit depends on your dog’s needs as well as practical considerations such as distance, transport, hours, and how the team communicates. These questions can help you compare clinics.

Services and your dog’s needs

  • Do you routinely care for dogs of my dog’s age, breed, or with their known health needs?
  • Which services are available at this location, and which require a referral elsewhere?
  • Can I request a particular veterinarian? Who provides care when that veterinarian is unavailable?
  • How do you share test results, explain follow-up care, and answer questions between visits?
  • May I visit before registering, and can I see the areas where dogs are examined?

Ask whether the clinic’s team and services suit your dog, and consider how easy it is to reach by your usual means of transport. The American Kennel Club’s clinic-selection guidance and the UK’s Royal College of Veterinary Surgeons guidance both identify services, staff, access, charges, and emergency arrangements as useful points to consider.

Appointments and access

  • What are your regular hours, and how long do clients usually wait for a non-urgent appointment?
  • How can I book or cancel—by phone, email, or online?
  • Do you see urgent cases during regular hours?

The American Veterinary Medical Association’s clinic-visit brochure recommends asking about regular hours and the average wait for a non-emergency appointment. Availability and booking procedures vary between practices, so ask about the options that matter to you.

Find out exactly what happens after hours

Do not assume a regular veterinary clinic is also an emergency hospital. Ask what clients should do when the clinic is closed, including at night, on weekends, and on holidays.

  • Does your clinic provide emergency care after hours, or do you refer clients to another provider?
  • If you refer, what is that clinic’s name, address, and phone number?
  • What is the expected initial charge, and should I call before travelling?
  • How are my dog’s records shared with the emergency provider, and how does the regular clinic receive an update afterward?

The American Animal Hospital Association’s guidance on choosing a veterinarian notes that emergency availability differs: some practices have set emergency hours, while others offer round-the-clock care. The AVMA also advises asking whether the practice provides after-hours coverage or refers clients to a local emergency clinic. Get the destination and contact details before you need them.

Ask about fees, estimates, and payment

Ask for the clinic’s current charges rather than relying on another practice’s prices. If you want to compare clinics, request fees for services your dog is likely to need and ask what may be billed separately.

  • What is the consultation fee? What are the usual charges for vaccinations, microchipping, and other routine care relevant to my dog?
  • Are prescriptions, record transfers, missed appointments, or after-hours consultations charged separately?
  • Which payment methods do you accept? Are payment plans or financial assistance available?
  • Will you give me a written estimate before tests or treatment, explain what it includes, and contact me before costs go beyond it?
  • If I have pet insurance, can you help with claim forms or offer direct billing?

In the UK, government consumer guidance recommends comparing common service prices, including consultations, prescriptions, vaccinations, microchipping, and neutering, and asking whether payment plans are available. It also advises asking why a treatment is recommended, whether alternatives exist, how urgent it is, and what it is likely to cost. A quoted amount may be an estimate, not a fixed price. Clarify registration and medical-record transfer

Ask what the clinic needs to open a file for your dog and whether it wants the information before the first appointment.

  • What information do you need to register my dog, and can I complete forms in advance?
  • Which vaccination, medication, diagnosis, surgery, breeder, rescue, or adoption records should I provide?
  • Can your team request records from my dog’s previous veterinarian, or should I request and forward them?
  • Do you need the records before I book, or can I bring them to the first visit?

The AVMA’s clinic-visit brochure says the current veterinarian should provide copies of the dog’s medical records to the new practice. The AKC’s first-visit guidance recommends bringing available paperwork, such as records from a breeder or rescue, so the veterinarian can add it to the dog’s file. There is no single intake procedure established for every clinic: confirm what your chosen practice requires.

Use this as a starting point, then ask follow-up questions about your dog’s particular needs:

“Hello, I’m considering registering my dog, [name], who is [age] and has [brief relevant history]. Do you have capacity for new dog patients? Could you tell me how appointments are booked, what records you need, and the usual consultation fee? I’d also like to understand your after-hours emergency arrangements, including where you send clients when you’re closed. Do you offer written estimates, and what payment methods do you accept?”

If relevant, follow up about services or referrals, who covers when your preferred veterinarian is away, whether the clinic can request previous records, and how the team communicates test results and follow-up. The script is a practical prompt, not a universal clinic protocol.

Gather what you have; you do not need to delay asking about registration while you search for every document. The clinic can tell you what it needs and whether records should arrive before the first appointment.

  • Vaccination history and previous veterinary records
  • A list of current medications and supplements
  • Available breeder, rescue, or adoption paperwork
  • Notes on known health issues or previous procedures that may help the veterinarian understand your dog’s history

A vaccination or medical-record book can help you organize paperwork, but it does not replace the medical record held by the veterinary clinic.

Compare clinics on the details that matter to you

When weighing your options, compare practical differences rather than relying on a single recommendation. The RCVS, AKC, AVMA, AAHA, and UK government guidance support considering these areas:
