Agree on the beneficiary and money flow first
Choose a specific animal hospital or veterinary nonprofit and secure its written agreement before announcing the event. Confirm who may solicit donations on the hospital’s behalf: the IRS says a qualified charity should conduct an event if donors are to document deductible contributions, or clearly authorize an outside organizer as its agent. Tax deductibility depends on the recipient’s status and the donation arrangement; do not promise it without confirmation. Put the practical terms in writing with the hospital:
- The event name and any permitted use of the hospital’s name, logo, or patient stories.
- Who receives registration fees, sponsorships, and optional donations, and which account holds them.
- Whether event expenses are paid by the organizer or hospital, and how gross receipts, costs, and net proceeds will be reported.
- When proceeds are transferred, how refunds and cancellations are handled, and what information the hospital and donors will receive.
- Who is authorized to speak for the hospital and solicit funds.
Keep registrations, sponsorships, donations, fees, refunds, and expenses identifiable in your records so you can reconcile the final amount. Explain to participants whether an entry fee supports event costs, whether a separate donation is optional, and how proceeds are calculated. Choose an achievable format and course
A road race, park loop, trail event, or walk/run can all work; choose based on what the organizing team can safely manage, not just what sounds appealing. Consider course capacity, accessible participation, surface and crossings, traffic, parking, toilets, water and aid points, volunteer coverage, and whether spectators can be kept out of runners’ way.
Do not describe a date or route as confirmed or sell entries until the landowner and relevant authorities indicate the route is feasible and the permit process is underway. RRCA advises that race permitting can take six months or more depending on distance, complexity, expected field size, and local factors. Find out which permits and approvals apply
There is no single permit list that fits every charity run. Contact the city or county, park authority or other landowner, and relevant transportation and public-safety agencies for the proposed route. Ask specifically whether you need approval for:

Build a safety plan for the actual route
Write down the hazards you anticipate, the steps that reduce each risk, and the person responsible for carrying them out. Include setup and teardown as well as race time. Plan for crossings, uneven surfaces, weather, participant separation, spectators, accessible participation, water and aid points, lost children, first aid, volunteer communications, and emergency or cancellation decisions.
Brief course marshals and volunteers before event day, and make sure they know how to report an incident and whom to contact. RRCA identifies risk management as a primary responsibility for race directors and provides event safety and waiver resources; use them as guidance, not as a substitute for a plan tailored to your route. If the event is in the UK, the Fundraising Regulator’s event guide is advisory and UK-specific, but its prompts are useful: retain a written risk assessment; account for participants, staff, contractors, volunteers, the public, safeguarding, accessibility, venue, equipment, and setup and teardown; assign responsibilities and insurance in writing; and check that insurance is adequate. Put responsibilities and insurance in writing
Document roles with the hospital, venue, race director, equipment hirers, timing provider, food vendors, and any paid event company. Specify who obtains permits, supervises volunteers, responds to incidents, controls registration and sponsor income, and carries each insurance policy. Also agree what happens if weather, low registration, or permit denial requires a change or cancellation.

Set up registration and fundraising transparently
Use a registration page or form that states the format, date and location, entry terms, refund policy, accessibility information, what the entry fee covers, and whether an optional donation is separate. If you use an online fundraising platform, ask the hospital to approve it and check who receives donations, what fees apply, when funds are released, who issues receipts, and what reports are available.
California’s Attorney General describes responsibilities platforms may have around consent, receipts, transfers, charity eligibility, and reporting. Invite local running clubs, veterinary practices, pet businesses, animal shelters, and neighborhood groups to join or sponsor. Give sponsors written terms explaining what their contributions support. Obtain permission before using the hospital’s name, logo, or patient stories, and make claims about animals helped or services funded only when the hospital can substantiate them.

Choose supplies and services around the event workflow
Numbered race bibs can help identify participants and coordinate starts and finishes. Choose a format after deciding how registration and timing will work; the cited guidance does not endorse a particular product or brand.
When comparing registration services, assess total fees, payout timing, charity eligibility, whether registration and donations can be kept distinct, reporting, refund handling, accessibility, and how easily records can be reconciled with the hospital. For physical supplies, consider course suitability, visibility, durability, quantities, and delivery timing. No vendor or product is established as the best choice for every event.
Reconcile funds and report back after the run
After the event, reconcile registrations, sponsorships, donations, refunds, fees, and costs against the agreed budget. Report gross receipts and expenses, transfer proceeds according to the written agreement, and tell participants and donors the amount raised and when the hospital received it. Retain permits, agreements, the risk assessment, incident notes, receipts, and the final reconciliation so the hospital can answer questions and plan future events.
