Plan a year-end fundraising appeal by setting a measurable goal, learning what matters to your donors, making a concrete case for support, coordinating outreach around your audience’s habits, and preparing to thank donors with clear impact information. Start planning months before launch, but use your organization’s own history—not a universal calendar or channel formula—to decide what to do and when.
When should we start planning a year-end campaign?
Begin several months before launch so there is time to set the goal, shape the appeal, prepare materials, coordinate channels, and test the giving experience. CanadaHelps recommends five to six months of lead time; its writer, Sadie Stephens, describes that as the ideal preparation interval in a July 2024 article. PayPal’s U.S. guide, published in May 2025, recommends planning three to six months ahead, ideally in June or July. These are planning recommendations, not evidence that starting on a particular date guarantees more revenue.
Use the lead time as a working window and adjust it to your staff capacity, campaign scope, location, and approval process. A direct-mail package, for example, needs production and delivery time; a smaller email-led appeal may involve different preparation. Set internal deadlines backward from the intended launch, including time for review and testing.

How do I plan a year-end fundraising appeal?
1. Define the result you want
Set a specific, measurable goal with a deadline. A dollar target can be paired with a donor, program, or awareness outcome when that helps explain what success means. Connect the target to the organization’s mission and make sure the team can track progress during the campaign.
For example, rather than setting only a broad ambition to “raise more,” specify the amount sought by the campaign’s close and the work it is intended to support. Keep the goal grounded in organizational plans and past results; the sources do not establish one target size or fundraising formula that fits every nonprofit.
2. Learn who will receive the ask
Review donor motivations, gift histories and patterns, communication preferences, and the channels that have produced gifts in prior campaigns. Where it is lawful and appropriate, consider giving capacity as one input, not as a substitute for relationship knowledge. Look at differences in giving history or relationship stage: a longtime supporter, a recent first-time donor, and a lapsed donor may warrant different messages or asks.

Explain the need, what the organization will do about it, and how donor support helps. A reader should be able to see the link between the problem, the proposed work, and the campaign goal. Make the ask direct and give a clear next step.
A story can make the need more understandable when it is accurate, used with appropriate consent, and connected to demonstrable work. Emotion alone is not a substitute for a credible case or evidence of what the organization does.

What should the year-end campaign calendar include?
Build a calendar from the work that must happen, the channels your audience uses, and your organization’s own results. Include preparation, approvals, production, launch, key appeal dates, and post-campaign thanks and reporting. Assign an owner and a deadline to each task.

Its summary reports that 50% of online year-end revenue in that benchmark came on Giving Tuesday and in the final week of the year: 4% on Giving Tuesday, 14% on December 31, and 32% during the last week of the year. Those are benchmark findings about online revenue, not a schedule that every organization should copy. Check your own campaign records before choosing dates or contact frequency.
Other figures cited by NextAfter describe different measures and periods: M+R’s 2023 Benchmark is cited for 26% of all annual fundraising revenue during year-end giving season, while NextAfter attributes 37% of annual online fundraising revenue to the final 45 days of the year. Do not treat these as interchangeable: one is an all-channel measure attributed to M+R, and the other is an online measure attributed to NextAfter. Choose dates using your own evidence
Mark dates that matter to your organization and audience, then compare them with prior response and giving patterns. Giving Tuesday and the final days of December may be relevant, but benchmark concentration is not proof that every nonprofit should use the same dates, cadence, or mix of appeals.
Choose channels your team can deliver well
Email, online giving, direct mail, phone, and social media are possible parts of a campaign, not a ranked list. For each option, weigh audience preference and reach, your past response and gift data, staff and production capacity, cost, lead time, ease of completing a gift, and the ability to measure and follow up. Use only the channels that fit your supporters and that your team can coordinate reliably.
How should the giving experience support the ask?
Carry the campaign’s message into the donation experience so donors do not have to reconstruct the case after clicking through. NextAfter recommends a year-end-specific donation page instead of sending all campaign traffic to a general donation page. Treat that as a published recommendation, not a guaranteed increase in results for every organization.
Before launch, check that the page reflects the appeal, makes the next step clear, and works as intended. Ensure the ask and the giving experience tell a consistent story; coordinate links and materials across the channels you use.
How do we close the loop after the appeal?
Thank donors promptly, then report what the campaign achieved and explain what their support makes possible. Share impact information that is accurate and tied to the work funded or advanced by the appeal. Keep supporters updated as that work progresses. Stewardship belongs in the campaign plan, with assigned time and responsibility, rather than being left until the busy season is over.
CAF America’s 2025 toolkit reports that nearly a quarter of U.S. donors give exclusively in November and December; the passage does not identify the underlying study, so it should be read as the toolkit’s reported figure rather than an independently established estimate. It reinforces the relevance of year-end outreach for some donors, but it does not replace understanding your own audience.
