Volunteer work goes beyond animal handling

Best Friends’ Volunteer Program Overview Playbook describes a range of possible roles, including fostering, animal care, adoption support, community awareness, fundraising, advocacy and transport. The right mix depends on an organization’s needs and readiness. A useful way to assess a role is to ask:

  • What operational need will it address?
  • What skills or training will volunteers need?
  • Can the work happen on site, remotely or in the community?
  • How much staff supervision will it require?
  • What safety considerations apply to volunteers and animals?
  • How will the organization assess the role’s impact and whether volunteers remain engaged?

How to build a volunteer program that lasts

1. Start with mission and operational readiness

Define how volunteer work supports the organization’s mission, then identify actual operational gaps it can address. Staff need to be prepared to work with volunteers; adding people without clear roles, procedures or staff support can create more work rather than relieve it.

2. Assign ownership and set expectations

Designate someone to oversee implementation. Document each role’s responsibilities, requirements and expectations, and establish procedures for training and everyday questions. Clear boundaries help volunteers understand what they can do and when to ask staff for direction.

3. Review agreements and safety procedures locally

The playbook recommends getting legal assistance and local review for volunteer agreements and liability waivers. Requirements can vary by location and organization, so a general template should not be treated as a substitute for appropriate local review.

4. Recruit for defined roles

Make targeted appeals that explain the specific role and its needs rather than relying only on a generic call for volunteers. A well-defined opportunity helps prospective volunteers understand the commitment and whether their skills fit.

5. Orient, train and supervise

Orientation should explain the organization and its mission. Follow it with continuing, role-specific training, along with supervision suited to the work. For animal-facing tasks, the organization should make clear which activities volunteers may perform and how to get help.

6. Keep people informed and monitor retention

Ongoing communication can cover changing needs, expectations, progress, impact, feedback, appreciation and opportunities to grow. Track whether volunteers stay involved: retention patterns can point to problems in role design, training, development or engagement.

The playbook captures the investment involved: “Volunteers are essentially an unpaid workforce and when we approach them this way, we invest in their development.”
