Build those pieces before your busiest giving weeks, then adapt the timing and channels to your supporters and your team’s capacity.
This guide covers campaign planning, message writing, GivingTuesday, donation-page checks, donor stewardship, U.S. federal tax timing for 2026, fraud prevention, and a practical launch checklist for shelters, rescues, foster networks, and veterinary charities.

Start with one mission story and one clear ask
Year-end communications compete with many other requests. A focused story helps a reader understand the need quickly and decide what to do. Choose one animal, family, program, or urgent operational problem that represents your mission without exposing confidential information or turning a person’s hardship into a spectacle.
Use a three-part story structure
- The need: Explain what animals or people are facing now, such as an influx of abandoned pets, an expensive medical case, or a shortage of foster homes.
- The work: Describe what your organization is doing and why it is equipped to help.
- The next step: Ask for a donation and state what the gift will make possible, such as veterinary treatment, temporary housing, food, transport, or adoption support.
Keep the ask concrete: “Please make a year-end gift today to help us provide veterinary care and safe placement for animals arriving before January.” Do not imply that a particular donation guarantees a particular medical or adoption outcome unless your organization can substantiate that connection.

Make the message usable for different donors
Use plain language, a visible donate button, and a short explanation of how gifts are used. Offer several gift amounts if your donation system supports them, while allowing a donor to enter another amount. Include a recurring-gift option only if your team can process and steward recurring donors accurately. State your legal name and contact information so a supporter can verify the recipient.
Prepare the donation experience before you send anything
Do not wait until the final week of December to discover that a payment field fails, an old address appears on a receipt, or a thank-you email still names last year’s campaign. Treat the donation page, confirmation message, and internal gift-recording process as one system.
Donation-page preflight
- Open the page on a phone, tablet, and computer. Check that the form, buttons, and text are readable and that the page loads over a secure connection.
- Verify the organization’s legal name, mailing address, contact email, tax-exempt disclosure, and privacy language.
- Check one-time and recurring gift settings, tribute options, employer matching instructions, and any gift-designation choices.
- Review every suggested amount and the wording beside it. Remove obsolete appeals, expired match language, and references to a closed emergency.
- Complete a small test transaction if your payment system permits it, then confirm that the receipt, internal record, and notification reach the right people.
- Make the confirmation page tell donors what happens next and how to contact you if a receipt is missing or information is incorrect.
Plan the campaign message and donation page before the active giving period. These are practical planning recommendations, not guarantees that a particular page design or message will increase revenue.
Do these 3 things before closing this tab:
1Fix the driver behind crashes, sound loss and screen glitches2Clear out junk files and repair common Windows errors3Scan for outdated or missing drivers - takes under a minuteChoose channels your team can fulfill
There is no universal number of emails, posts, calls, or letters that every nonprofit should use. Select channels by audience fit and operational capacity rather than copying another organization’s calendar.

| Channel | Best use | Questions to answer first |
|---|---|---|
| Explain the story, link to the donation page, and send targeted reminders. | Are addresses consented, deliverable, and segmented by relationship or interest? | |
| Postal mail | Reach loyal supporters who respond to a physical letter or tax-year reminder. | Can you print, proof, mail, and reconcile gifts before the deadline? |
| Social media | Show the work, share short updates, and direct followers to the official page. | Who will monitor questions, correct misinformation, and respond to comments? |
| Phone or personal outreach | Invite major donors, volunteers, board contacts, and foster families into a personal conversation. | Do callers have approved language, current records, and a way to log outcomes? |
| Events or peer-to-peer activity | Create a community moment around adoption, fostering, or animal care. | Can you manage safety, accessibility, gift processing, and follow-up? |
Keep one source of truth for the campaign link and core wording. A supporter who moves from an email to a social post to the donation page should see the same organization name, purpose, and contact details.
Build a workable year-end timeline
Count backward from the dates that matter to your audience. A calendar-year donor generally needs a contribution made by December 31 for it to be considered deductible for that tax year under U.S. federal guidance. That donor deadline is different from your organization’s fiscal year-end and from your annual return filing date.
Six to eight weeks before the main appeal
- Choose the mission story, audience segments, campaign goal, and primary donation URL.
- Approve the appeal, images, accessibility text, privacy language, and gift-processing responsibilities.
- Audit donor records, suppress people who should not be solicited, and identify supporters who need a personal contact.
- Prepare the receipt, thank-you email, letter template, and internal acknowledgment workflow.
Two to four weeks before the main appeal
- Publish or stage the donation page and run the preflight checks.
- Send a non-solicitation update if useful: explain the work, share a safe and dignified story, and tell supporters when the appeal will arrive.
- Brief staff, board members, volunteers, and anyone answering donor questions. Give them the same campaign link and escalation contact.
During the active campaign
- Send the appeal and any planned reminders according to your audience’s preferences and your ability to answer replies.
- Watch payment errors, bounced messages, unsubscribe requests, comments, and unusually large or suspicious gifts.
- Update internal records daily or on a schedule your team can reliably maintain; do not let a backlog obscure who has been thanked.
December 31 and the days after
- State the cutoff and payment method clearly. Do not promise that a gift is deductible merely because it was initiated online.
- Keep the donation page available while you can process gifts and answer questions, then replace urgent language with a stewardship message.
- Reconcile transactions, deposits, refunds, designations, and acknowledgments before closing the campaign.
Use GivingTuesday as a tactic, not a requirement
In 2026, GivingTuesday falls on December 1. It can be a launch, a milestone inside a longer appeal, or a date you skip if it does not fit your audience. Available guidance does not establish that every organization needs a separate GivingTuesday campaign or that one format raises more.
If you use the date, decide its role before writing copy. A launch can introduce the year-end need; a milestone can invite an early gift and provide a progress update; a standalone mini-campaign needs its own staffing, page, receipts, and follow-up. Avoid creating a second set of promises that your team cannot fulfill in December.

Write appeals that are specific without overpromising
Subject lines and opening sentences
Lead with the animal or program need, not an abstract slogan. Examples include “Help pets arriving before the holidays” or “Give foster families the supplies they need this winter.” The opening paragraph should identify your organization, the situation, and the requested action.
Explain impact honestly
Use verified program facts and current, representative examples. If costs vary by animal or case, say so. “Your gift supports veterinary care, food, and safe placement” is safer than assigning a fixed medical result to every donation. Explain restrictions when a gift is designated for a specific program.
Give a clear path to completion
- State the request in one sentence.
- Link the words “Donate now” or an equivalent call to action to the official secure page.
- Repeat the organization’s name and contact details near the link.
- Tell the donor what confirmation to expect and how to reach you if it does not arrive.
Make stewardship part of the campaign
A year-end gift is not complete when the payment succeeds. Prepare the acknowledgment before the appeal so every donor receives a prompt, accurate response. The message can thank the supporter, confirm the amount and date, describe the work in general terms, and explain what happens next without making a tax promise.

Record and acknowledge gifts accurately
- Match the payment to the correct donor record and campaign code.
- Capture the gift date, amount, payment type, designation, tribute details, and any goods or services provided.
- Send the correct receipt or acknowledgment and retain a copy of the solicitation and response.
- Route returned mail, bounced email, duplicate gifts, refunds, and anonymous gifts to a named staff member for resolution.
Plan a follow-up that reports progress or shares a program update after the urgent appeal. Do not turn every follow-up into another request; explain how supporters’ participation helped the organization continue its work.

U.S. federal tax and reporting points for 2026
The following rules are general U.S. federal guidance, not individual tax advice. Donors should verify that the recipient is qualified and consult a tax professional about their circumstances and state rules.
December 31 is the donor’s tax-year timing date
The Taxpayer Advocate Service states that a contribution must be made by December 31 of that year to be considered tax deductible for that tax year. A nonprofit’s fiscal year may end on another date, and that does not change the donor’s calendar-year cutoff. Explain payment timing and retain transaction records, but avoid declaring that a particular late-night or pending transaction qualifies.
Acknowledgments for gifts of $250 or more
For a donor claiming a deduction, a contribution of $250 or more generally requires a contemporaneous written acknowledgment. It should describe the contribution and state whether the donor received goods or services in return. The acknowledgment rule is separate from the organization’s normal thank-you practice, so build both into your records process.

Quid pro quo payments over $75
When a donor pays more than $75 and receives goods or services, the organization generally must provide a written disclosure with a good-faith estimate of the value received and an explanation that the deductible amount is reduced by that value. The IRS instructions include exceptions and calculation details. Review the current instructions before issuing event tickets, merchandise, meals, or other benefits in exchange for a payment.

Token benefits listed for tax year 2026
The 2026 Instructions for Form 990 list inflation-adjusted amounts for certain token benefits. A payment of $69.50 or more with only token items may qualify for the cost-basis rule when the other conditions are met, including a charity cost of $13.90 or less. For a fundraising campaign, the fair-market-value threshold is 2% of the payment or $139, whichever is less. These figures apply to tax year 2026 and are subject to annual adjustment; they do not eliminate the separate disclosure rules.
A 2026 provision for some non-itemizing taxpayers
IRS Tax Tip 2026-57 says that, beginning with tax year 2026, taxpayers who do not itemize may be able to deduct up to $1,000 in cash contributions, or $2,000 for married taxpayers filing jointly, made to certain qualified organizations. This provision has eligibility limits. Do not tell every donor that every gift or nonprofit qualifies.
Your Form 990 deadline is based on your tax year
For an organization whose tax year ends December 31, the IRS due-date table lists May 15 as the initial annual return due date and November 15 as the extended due date. Weekend and holiday rules can move a deadline. Keep this filing calendar separate from donor-facing December 31 language.
Protect donors from fraud and payment mistakes
Tell supporters to verify the recipient and use your official donation page or other trusted payment channel. The National Taxpayer Advocate warns about unusual requests for gift cards, cryptocurrency, or wire transfers. Your organization should not pressure a donor to use an unfamiliar method merely to meet a deadline.
- Publish one canonical donation URL and remove outdated links from profiles and old appeals.
- Ask donors to contact your published phone number or email when a message looks suspicious.
- Never request or store a donor’s full card number, security code, or online-banking password in email or a spreadsheet.
- Reconcile payment notifications with deposits and investigate duplicate or reversed transactions.
- Keep receipts, solicitation materials, acknowledgments, and correction logs according to your records policy.
Measure what you can improve
Track operational measures that your team can verify: delivered messages, responses, gifts received, average gift, recurring selections, failed payments, acknowledgment time, refunds, and unsubscribes. Compare results with your own previous campaigns only when definitions and dates match. The available guidance does not establish a universal email count, fundraising target, matching-gift effect, or December revenue percentage for all nonprofits.
After the campaign, hold a short review. Record which audience segments received which messages, where donors encountered friction, how long acknowledgments took, and which questions appeared repeatedly. Turn those observations into next year’s page edits, data-cleanup tasks, and staffing plan.
