How to Prepare for a First Appointment with a Vet or Animal Charity

Call ahead, gather records and medicine details, write down your concerns, travel securely, and check eligibility early if using an animal charity.

Call the practice or charity before you go, bring whatever history you have (records, medicines, food details), write down your main concern and questions, and get your pet there safely in a suitable carrier or restraint. For a charity, check eligibility and registration first, because rules, documents and fees differ by organisation and location. Everything below expands on those points.

Ask the practice before the day

There is no single rule that fits every first appointment, so a short call or a look at the clinic’s booking instructions saves the most trouble. When you book, say it is your pet’s first visit and give the reason in a sentence. Then ask:

  • Do you want earlier records sent in advance, and what should I bring?
  • Do you need a sample (for example stool), and how should I collect and store it?
  • Should my pet eat and take routine medication as usual beforehand?
  • Where should we wait, and how do you keep animals apart on arrival?

Also say now if your pet is fearful, may try to escape, struggles with handling, might react aggressively, or has mobility problems. Blue Cross UK’s consultation guidance says staff will ask about health history and current symptoms and can discuss tests, treatment options and estimated costs, so the team will be planning around what you tell them.

What to bring

Records and paperwork

  • Vaccination cards, previous prescriptions, discharge notes and any medical records.
  • Adoption or purchase paperwork, plus breeder, rescue or previous-carer details. For a young animal, include the date of birth if known.

If a previous practice holds the records, ask whether you can authorise a transfer to the new clinic. VCA notes that records can often be sent directly with the owner’s permission.

A written note

Do not rely on memory in the consulting room. VCA and the NCVMA (North Carolina Veterinary Medical Association) checklist both recommend bringing records and diet details and writing questions down. Your note should cover:

  • The main concern, when it began, how often it happens and what has changed.
  • Appetite, drinking, activity, toileting and behaviour observations that seem relevant.
  • Every medicine, supplement and parasite product, with doses if you know them.
  • The current food (brand and type) and treats.

If the problem comes and goes, a photo or short video can show what you describe. Ask the practice how it prefers to receive these. For remote consultations, Blue Cross UK asks clients to send photos or short videos.

A sample, only if asked

A fresh stool sample can be useful at some first visits, particularly for puppies and kittens. The NCVMA checklist recommends one for young animals and gives handling advice. Not every clinic wants one, so confirm collection and storage instructions before packing it.

Get there calmly and safely

Cats and other small pets

Use a secure carrier. For cats, AAHA (American Animal Hospital Association) recommends leaving the carrier out at home so it becomes a familiar resting or feeding spot, using familiar bedding and scents, practising short positive handling, and building up to brief trips once the cat is comfortable. As AAHA puts it: “Preparing your pet for veterinary visits doesn’t require advanced training or special equipment—just consistency, patience, and positive experiences.”

Dogs

Short, positive car rides and gentle, brief handling practice help. In a vehicle, VCA describes a crate or an approved canine harness restraint as safe options. Follow the clinic’s directions about waiting and keeping animals separated.

Intense fear

If your pet is severely afraid, tell the clinic before arrival. AAHA advises speaking with a veterinarian; any medication or supplement should be considered only under veterinary direction, not started on your own.

Treats and comfort items are fine as extras, but check the feeding instructions first, since some appointments need a fasted pet.

If the appointment is with an animal charity

Charities do not all accept the same clients, offer the same treatments or use the same booking route. The examples below are UK-specific and can change, so check the organisation’s current pages or phone the local site.

Charity What its guidance says
Blue Cross UK Checks benefits and catchment area; asks for personal, pet and benefit details. Registration can take several working days in busy periods. It charges a consultation fee, and the team can answer questions on estimated treatment costs. For urgent care, contact a veterinary service rather than wait for routine registration.
PDSA New clients use its eligibility checker, then contact their registered Pet Hospital or Clinic to arrange an appointment. Registration lists proof of benefits and photo ID; people without photo ID can ask about an alternative.
RSPCA Veterinary assistance terms describe registration and eligibility, with documentary evidence for reduced-cost care. These terms apply to specified RSPCA hospitals and clinics, not every local animal charity or private practice.

Before relying on a charity, confirm:

  • Whether you are eligible and live in the service area.
  • Which documents to bring (benefit proof, photo ID, pet details).
  • Whether that location can provide the care your pet needs.
  • What fees apply. A charity service is not automatically free.

Start registration early. If your animal is unwell now, call a veterinary service instead of waiting.

Questions to take with you

  • What should I expect at this appointment, and how long might it take?
  • What preventive care, vaccines or follow-up suit this pet’s age, history and lifestyle?
  • What is the next step, when will results arrive, and whom do I contact with concerns afterwards?
  • At a charity: am I eligible, what services are offered at this location, and what fees may apply?

These help you clarify your pet’s history and care plan. The veterinarian decides which examinations, tests or treatments are appropriate.

Birds, reptiles and other species

The detailed preparation guidance available is strongest for dogs and cats. For birds, reptiles, small mammals and others, ask your clinic or charity for species-specific instructions on transport, temperature, feeding and what to bring.
